The AI Feature That Truly Changes How You Work Is Not the First One You Try

The AI Feature That Truly Changes How You Work Is Not the First One You Try

Our first five “AI That Works for You” blogs have shared what small and midsized businesses (SMBs) should know about AI ERP. Each blog, including AI on Your Terms: Managed and Configurable AI, Why the Distinction Between AI and Automation Matters for ERP, AI Bolted On or AI Built In? What Every Business Should Ask Its ERP Vendor, Why Purpose-Built AI Beats Horizontal AI, and Designing AI ERP for the Manager Who Gets the AI Alert and the Specialist Who Fixes It, offers deep insights you can use when evaluating ERP solutions on their AI and ERP capabilities.

Today, we’re digging into a topic that many other ERP vendors shy away from: whether their AI capabilities are simply surface-level or if they truly offer progressive AI features that will vitally transform their ERP systems into technology that unlocks the future of intelligent business.

AI Features: Initial Capability vs. Operationally Transforming

When a new AI capability appears in an ERP solution, the first version tends to do one thing well: it proves the technology works. It answers questions, surfaces patterns worth paying attention to, and gives the people who championed the investment something concrete to point to.

What it rarely does is change how your team operates in a typical day and work setting six months after go-live. That is less a critique of AI and more a description of how good, practical software gets built.

These first features are usually designed to demonstrate capability clearly enough that people understand what they are looking at. The features that reshape daily workflows come later, once a vendor has seen what actually happens when real customers use the technology in production, where the data is messier, the edge cases multiply, the workflows the AI was meant to improve turn out to be more layered than anyone anticipated, and the friction that matters most is not the friction anyone predicted.

The gap between the capability that impressed and the capability that earned adoption is where a vendor’s real AI investment is put to the test. Some vendors ship a second generation of features that look a lot like the first one: extended and polished but still built around what the technology can do. Others build something that reflects what customers told them after living with the first version, like which workflows the AI missed entirely.

The Right ERP Provides AI Capabilities That Build Confidence

The organizations who get the most out of AI ERP treat the first feature as a starting point rather than a final destination. They push on what is next, share where the friction still lives, and look for evidence that their feedback is shaping what gets built. The ones who walk away after the first feature, satisfied or disappointed, tend to miss the version that would have changed how their team works. Acumatica’s product vision approach relies on customer-driven innovation – listening to and responding to the feedback of real users. As an AI-powered cloud ERP solution, Acumatica believes iteration means building on what customers already use and trust. Acumatica’s AI Assistant uses Generic Inquiries to answer user questions, which means access is governed by the same permissions already configured in the system. A user who cannot access a particular GI cannot ask AI Assistant questions about it. That is the result of building AI on top of familiar infrastructure rather than introducing a parallel system with its own logic.

The same principle shapes how we are extending AI Automation with deeper tool-calling capabilities and how our Model Context Protocol (MCP) implementation starts from the Generic Inquiry framework customers already know, with API capabilities extending what is possible from there. Each step adds capability without asking customers to rebuild confidence from scratch, something Acumatica customer Key Code Media understood from day one.

“Acumatica really knew the market and understood our business and how to leverage artificial intelligence and machine learning,” says Ka Man Chan, Key Code Media’s Chief Financial Officer. “We only have eight hours a day and need to scale the business, so we must ensure we use our time well. With Acumatica, rather than spending that time inputting data, we use our talent to analyze data and make more strategic decisions.”

When you evaluate AI ERP, ask the vendor what changed in their roadmap after the first wave of deployments, and who drove those changes. Was customer input core to the iterations and enhancements made to new AI features? Does the vendor have a strong, vibrant community where feedback is tracked and acted on? A vendor that can answer these questions with specifics is one worth listening to.
